Quote & Timeline Guide Lines
Kindly note that our quotes are only valid for 4 weeks and are inclusive of vat.
Should you wish to proceed with a quote after this 4 week period, an updated quote will be provided to you.
We communicate primarily via email and we require that all quotes, CAD designs, and manufacturing requirements or changes are to be approved by email only so that all parties involved can keep track of your item’s progress.
Information regarding timelines and additional costs will be provided to the client from the start of the project. Our quotes include a pre allocated amount of time (dependant on the design specifications). Should the client request more time on a job for stone selection or design alterations, the client will be billed accordingly.
In order to be fair and to allocate enough time for each of our special clients, we kindly ask that you take note of the following time frame guidelines:
We have to be notified 5-6 weeks in advance of the required deadline and receipt of this date has to be noted. Failure to let us know/change of deadline will result in completion dates not being met.
Unfortunately we are not able to accommodate design changes or further stone sourcing after four weeks ahead of the above mentioned deadline.
Upon paying the deposit, you agree that these deadlines are dependent on various milestones being met (from designer and client's side). Design changes and payment or communication delays will result in the deadline moving forward.
Designing, Stone Sourcing & Manufacturing Process
We offer our design services without requiring a deposit and are happy to provide quotes and stone options in the initial stages of designing in order to help our clients understand their design options and make the most of their budget.
We strive to keep this service fair to all our clients and for that reason, we limit the amount of time spent per order and design request.
Should the client request more time on a job for stone selection or design alterations, the client will be billed accordingly.
Ideally, our client will select a style from one of the jewellery pieces Meraki has previously made.
Alternatviley, the client can provide up to 3 reference images of a jewellery item they would like to create.
We will discuss the design elements with you and if it will help to visualise the design, we will create a digital drawing of the piece to help define the best proportions.
Should the client change their mind about the design direction after the initial digital drawing has been created, any further design work will be charged for separately.
More information on our design process can be found here
We have to be notified 4-5 weeks in advance of the required deadline and receipt of this date has to be noted. Failure to let us know or change of deadline will result in completion date not being met. Unfortunately we are not able to accommodate design changes or further stone sourcing after three weeks ahead of the above mentioned deadline.
Upon paying the deposit, you agree that these deadlines are dependent on various milestones being met (from designer and client's side). Design changes and payment/communication delays will result in the deadline moving forward.
We currently don't keep stones in stock but we are happy to source options on behalf of our clients - this we limit to a maximum of 5 options from various suppliers (should this many stones be available).
If this round of sourcing does not supply a stone that the client likes, or if the client would like to look at alternative gemstones, we charge a small sourcing fee. This is R150 for one request from one supplier for one gemstone type - a supplier may have multiple options to provide or only one, and the fee remains the same either way - naturally if they have no options, there is no fee.
We work with a skilled CAD creator and casting workshop to create our bespoke jewellery pieces.
Our lead designer will interpret your references and creative direction, and incorporate your stone preferences and budget requirements. They will then share a visual guide and instruction pack with our CAD creator who will generate the file that instructs the printing machine to create a wax model of your unique jewellery item.
The CAD design process can take up to 2 weeks. These designs are sent to our clients for final approval. If the CAD designs meet the specs that have been discussed so far, the ring will go into production.
The wax model is then cast in your chosen metal and the manufacturing team of goldsmiths, setters, and expert finishers will then refine this little sculpture into your beautiful piece of jewellery.
We require roughly 2 weeks for our talented team to complete the jewellery piece.
Once our team has done the nessesary quality checks and completed our documentation, the remaining balance is due for payment and there after the ring will be ready for collection or shipment.
Incorporating Heirloom Jewellery
While we appreciate being entrusted with previously loved jewellery items and are happy to work with stones removed from existing jewellery, it’s important to note that we have no way of knowing what kind of pressure the stones may have experienced in the previous setting process. Most of the time, we remove stones and everything is perfectly fine, but occasionally we find that a stone may have been chipped in the previous setting process.
We do our best to inspect your jewellery with you in our studio, and we work with careful craftspeople who take every care with the jewellery we entrust them with. However, it can happen that faults with customer stones only come to light once the new ring is in the hands of the setters who use high powered eyewear.
If this should happen, our setter will wait for confirmation before setting your new item - your confirmation to go ahead with setting means that you understand that we are not responsible for the fault on the stone and that the stone may not react well to the pressure of setting in the new ring.
At this point in the process the new ring will already have been made and the costs for this apply to the customer whether the stone/s survive the setting process or not. Naturally, in the unusual event that a customer’s stone with existing faults does not survive the setting process we will do our utmost to find a cost-friendly replacement.
We will always notify the customer of any issues with their stones before setting.
It is advised to provide us with any valuation certificates for the heirloom jewellery for us to clearly understand the materials that we have to work with. Kindly note that gold accepted will be valued at less 20% to accommodate refining costs and shrinkage.
Diamond Care & Info
Important to remember! Diamonds are not the hardest substance on earth; it is the hardest mineral.
Under normal circumstances, the odds of chipping your diamond during normal wear are relatively slim. However, it is a possibility that you should be aware of this so that you can take proper precautions. Even though these stones are very resilient, they are still a natural element and so it's important to be careful not to knock your diamond ring against other hard items and it’s definitely not a good idea to wear it while doing physical exercise, sleeping or gardening.
Meraki Jewellery cannot be held liable for damage to diamonds of any kind, therefore we advise insuring your jewellery piece as soon as it is received.
The very thing we love about Salt & Pepper Diamonds is their unique characteristics which are a result of various kinds of inclusions which are more plentiful and noticeable than in traditional diamonds. These inclusions develop as the diamond crystal grows. Over billions of years, the crystal is exposed to carbon, minerals and even other diamonds, and together these elements create lasting marks, or inclusions. This means that the very nature of the stone is to be highly included and this is what makes them more prone to fracture than traditional diamonds.
Having said that, if the diamond is mounted carefully and treated with reasonable care, it can last for generations.
When cleaning a Salt and Pepper Diamond, avoid using ultrasonic cleaners as these can cause fractures and cracks in a more fragile stone. Use a mild soap and a soft brush to restore the brightness and sparkle of the stone, instead of using harsh chemicals and abrasive materials.
Although these are noted for superior hardness, black diamonds are actually made up of millions of smaller black crystals, bound together by internal inclusions.
These multiple fractures make black diamonds more vulnerable to breakage from sharp blows than colourless diamonds. For this reason, large stones especially must be treated with care.
Ring Sizing
We offer the first sizing at no charge within 1 month of receiving the ring (provided we have measured the size ourselves).
If the ring size was provided by the customer, our workshop will assess the viability of the sizing requirement and report back regarding any risk to stones or ring structure - we prefer not to enlarge or reduce rings by more than 2 sizes and to keep sizing activities down to an absolute minimum.
The cost of any sizing after 1 month of receiving the ring will be charged to our customer according to our workshop costs.
Please bear in mind that engagement rings can take a couple weeks to get used to - everyone's fingers are unique and fingers can change shape everyday and across different seasons. Since a ring cannot change to fit every moment, each individual must work out what is the best compromise for them.
Do you prefer your ring to be tight over the knuckle but loose at the joint? Do you like a tight ring that doesn't swivel? Would you rather a loose ring in winter so it doesn't squeeze in summer?
As a starting point, what we love to see is a ring that slides on securely and needs to be walked off, but ultimately it's up to you and we'd love you to feel confident and safe wearing your jewellery.
Jewellery Care & Warranty
We offer a limited guarantee against any manufacturer's defect in material or craftsmanship. Please note that this does not cover neglect, abuse, loss, theft, or normal wear and tear.
We will cover the loss of the first melee stone under 0.05ct or any stone up to 1.5mm in size.
Meraki is not responsible for the replacement of a stone if it is lost due to bent or damaged prongs due to neglect.
Center stones are not under warranty, please be sure to insure your piece!
After six months, we will repair your Meraki piece due to normal wear and tear at a discounted rate. We reserve the right to decide what constitutes normal wear and tear.
Should repairs be needed, it is the customer’s responsibility to ship and insure the piece(s) back to us. We will return jewellery to you at our own cost, less transit insurance.
Unauthorized repairs or service on your items made outside of Merkaki Jewellery can void your warranty with us.
We do our best to create sound jewellery items by balancing the various aspects that are involved in creating custom designs - working with quality materials, incorporating the advice of experienced manufacturers, and achieving the look that our clients desire.
We advise our clients to have their rings checked annually - by us or a jeweller local to them if they live outside of Cape Town. This is a good opportunity to check the tightness and condition of the claws, give the ring a deep clean, and note any potential issues.
It must be noted that although gold is a strong and resilient element, it is still a malleable metal that needs to be treated with care. Gold is vulnerable to knocks or experiencing pressure from holding tools or lifting things - even some actions we might not be aware of. Goldsmiths are accustomed to using their hands to bend 9ct gold into shape with pliers, so gold is definitely not impervious to outside forces.
It's important to know that rings are not 100% resistant to daily wear and it can happen that a claw may become marginally loose in the normal course of daily life. If you ever notice a tapping sound or shifting feeling to the stone, it must be taken to a jeweller to be checked right away and not worn until it is seen to.
Please keep in contact with us should you have any concerns - we’d love to be able to give your special items the care needed to keep them in excellent shape and make sure the stone settings remain safe.
If you notice a problem with the metal, structure, settings, or stones in your piece of jewellery please communicate this with us as soon as possible and don’t wear your piece until we have had the chance to inspect it.
Damage to jewellery can happen due to normal wear and tear, engaging in physical activities, or if one is not careful with the jewellery item in daily life.
We will assess damaged items on a case-by-case basis, and accept the responsibility of repair provided the following is all in order:
- The item shows no signs of unusual stress or damage,
- We are notified as soon as the problem is noticed,
- The piece is not worn after noticing any issues with the piece.
If we can see that the item has sustained damage or has been worn after noticing the issue, there will be a repair fee charged to the customer. This amount will be determined after inspection of the product.
Meraki cannot be held liable for the security or integrity of any item that has been worked on by another jeweller.
We cannot stress enough the importance of insuring your jewellery piece from the day that you receive it.
We provide a valuation certificate for all of our bespoke items that will feature all the relevant specifications and a replacement value calculated to ensure that we'll be able to recreate this ring should you need to claim from insurance in the future.
This amount includes any price increases since the inital quote as well as a projected increase of 10% for general costs in the coming year.
We advise you to have it re-valued annually to keep up with any market fluctuations - so feel free to check in with us again in a year to see if it's worth adjusting the valuation total.
If there are no obvious manufacturing faults to the jewellery piece, any repairs required after it has left our workshop will be at the customer’s expense. It is therefore imperative that the jewellery item is insured as soon as possible, so that any unforeseen accidents that might result in damage to the claws, stones, chain, or overall structure of the jewellery item can be covered by the customer’s insurance.
Up to date valuation certificates often required by insurance companies and are conducted either by our lead Designer or outsourced to a reputable gemologist.
Costs for valuation certificates are R550. Aquiring valuations add 1 week to the completion time.
Shipping & Insurance
We offer safe and reliable door-to-door shipping locally. This shipping option delivers in 24-48 hours, but only provides insurance up to R5,000.00.
We are happy to provide a quote for a fully insured shipment via DHL, this ensures comprehensive insurance for more valuable items being shipped locally or internationally.
Customers are also welcome to engage their own courier service if they would like to shop around. They can then arrange a collection from our studio once we have told them that the piece is completed, but this will be at their expense, must be organised to fit with our studio opening hours, and communicated clearly to us. We can’t be held responsible for customer arrangements that have not been explicitly confirmed via email.
Should your order be completed on a Friday, we suggest holding off shipment until the following Monday in order to avoid high value parcels being kept at shipping depo's over weekends.
Should you opt for delivery of your special piece, we will require the following shipping information from you:

Intellectual Property
Our custom designs are created for our bespoke customers based on our own research, skill, creative insight, and experience gained through years of working on other custom pieces. For this reason, these designs belong to us and we reserve the right to use these in future design orders or Meraki collections.
Should we use a design created for a client's order in our own collection, we will endeavour to alter some design elements, but it must be acknowledged that in the world of jewellery design and manufacturing there are limited combinations of shape, size, and ring structure, and therefore similarities may be present.
If a customer would like to purchase a lifetime right to the precise dimensions, contents, and structure of an item, kindly inform us and this can be negotiated.
